Administration Assistant

We are seeking an organised, professional, and proactive individual to join our Private Client Team as an Administration Assistant in Dewsbury. This is an excellent opportunity to provide essential support to our fee earners and represent the ethos and values of Jordans Solicitors. 

  • Salary: In line with the National Minimum Wage 
  • Hours: Full Time, 5 Days per Week (35 hours per week)
  • Office Base: Dewsbury 

Key Responsibilities

  • Provide day-to-day administrative support to fee earners, including digital filing (ensuring 100% accuracy), opening/closing/archiving matters, and typing documents. 
  • Manage financial tasks such as cheque requisitions and writing cheques.
  • Handle incoming and outgoing correspondence, including posting letters and managing telephone enquiries/messages. 
  • Support the Private Client Team, including scanning original documents (e.g., Wills and LPAs), entering documents into the Will Bank System, certifying copies, and preparing documents for client appointments.
  • Checking fee earners diary – engrossing documents in readiness for appointments.
  • Typing receipts for collection of Keys/Original documents
  • Printing of Fee Earner letters and collating the same when they are not in the office 
  • Ring clients to say that their original documents are ready to collect.
  • Ringing new enquiries as part of the private client telephone rota
  • Comply with office procedures, Lexcel requirements, and the company’s Core Values to ensure smooth operations.

  • Highly organised and able to prioritise tasks effectively in a busy office environment. 
  • Professional, approachable, and welcoming, with strong communication skills. 
  • Comfortable using IT systems and willing to adapt to new software (training will be provided). 
  • Detail-oriented, with a commitment to accuracy and confidentiality. 
  • Able to embody the CREATE values and contribute to a supportive team environment.

Lisa started her career at Jordans Solicitors in February of 2008 where she started her Level 3 Professional Diploma in Law (ILEX course) and became a fully qualified Paralegal. Over the last 5 years, Lisa has continued her professional development, completing her Wills and Inheritance Quality Course and an addition ACAS course in Managing People. Lisa has also trained as a Dementia Friend, in order to further assist her clients. In January 2024, Jordans were delighted to promote Lisa to the role of Deputy Head of our Wills and Probate department.
