We are currently recruiting for a Part time Receptionist/Administration Assistant 4 days (Monday, Tuesday, Wednesday and Friday) a week, 9am to 5pm with 1 hours unpaid lunch, for our Wetherby Office.

We are seeking applications from individuals who are energetic and motivated to join our modern, mixed practice Law Firm.

The Role

The successful candidate will undertake reception duties plus a range of legal administrative tasks to help things run smoothly in branch and work closely with our private client team across the business.

Undertaking reception duties, you will be answering the phones two days a week, meeting and greeting clients ensuring they all receive a warm welcome and leave with the best impression of the company. 

This is a great opportunity to gain valuable exposure across our business and to spot opportunities to improve ways of working in order to provide our clients with the outstanding service they expect from us.

 

Key Responsibilities:

  • Answering the reception calls and re-directing them
  • Meeting and greeting clients
  • New business development, assisting with the implementation of Private Client projects to the wider business.
  • General administrative tasks, digital filing, photocopying, scanning, and updating the case management system.
  • Managing a variety of queries from drop in clients.
  • Typing letters and other legal documents
  • Opening and closing files
  • Providing remote support for the Private Client team and their clients.
  • Providing support to other Fee Earners when necessary.

 

Required Competencies and Skills:

Education:

  • GCSE or equivalent (preferred)

Experience:

It is essential that you have customer service and client handling experience

You will have preferably, at least one year legal administration and reception experience or equivalent in a professional services industry, as well as:

  • Excellent client care skills;
  • Flexible, committed and with an ability to prioritise and organise work effectively;
  • Professional, punctual, confident and self-motivated;
  • Exceptional communication skills both oral and written;
  • Ability to use initiative;
  • Ability to work under pressure;
  • A positive and proactive attitude;
  • An ability to operate autonomously and/or with minimum supervision;
  • Drive and enthusiasm;
  • A willingness to learn;
  • Strong attention to detail with a methodical and logical approach;
  • Common sense;
  • IT literate - we operate a paper-lite system as part of our target to reduce our impact on the environment ;
  • Knowledge of a case management systems
